CEC Data Protection Policy

Chatham Evangelical Church is committed to safeguarding the privacy of our members and visitors to our website. The personal data we collect is used for the purpose of general church administration and communication.

Chatham Evangelical Church recognises the importance of the correct and lawful treatment of personal data. All personal data, whether it is held on paper, on computer or other media, will be subject to the appropriate legal safeguards as specified in the General Data Protection Regulation 2017

Chatham Evangelical Church supports, endorses and adheres to the principles of the GDPR. These principles specify the legal conditions that must be satisfied in relation to obtaining, handling, processing, transportation and storage of personal data. Employees and any others who obtain, handle, process, transport and store personal data for Chatham Evangelical Church must adhere to these principles.

How we collect data and information about you

We collect personal information each time you are in contact with us. For example, when you:

  • Visit our website
  • Register your details and your family details using the forms supplied by the church or by a secure page on our website.
  • Make a donation by completion of offering envelopes
  • Register for a conference or other Church event
  • Provide your contact details, in writing or orally, to Church staff or volunteers
  • Communicate with the Church by means such as email letter, telephone
  • Face to face meetings with staff and volunteers

Your Confidentiality

Chatham Evangelical Church will treat all your personal information as private and confidential and not disclose any data about you to anyone other than the leadership of the church in order to facilitate the administration and day-to-day ministry of the church. All CEC Church staff and volunteers who have access to Personal Data will be required to agree to sign a Confidentiality Policy and a Data Protection Policy.


The following are the exceptional circumstances to the above permitted by law;
  • Where we are legally compelled to do so.
  • Where there is a duty to the public to disclose.
  • Where disclosure is required to protect your interest.
  • Where disclosure is made at your request or with your consent.

Use of Personal Information

Chatham Evangelical Church will use your data for three main purposes;
  • The day-to-day administration of the church; e.g. pastoral care and oversight including calls and visits, preparation of ministry rotas, and where necessary, maintaining financial records of giving for audit and tax purposes.
  • Contacting you to keep you informed of church services, activities, resources and events.
  • For determining house group membership and informing house group leaders of new joiners seeking to be part of the group.

How We Keep Your Data

Information contained in our database will not be used for any other purposes than set out in this section. Our database is accessed through the internet and therefore can be accessed through any computer or smart device with internet access. The server for our database is hosted by Amazon Web Services within their EU West 2 data centre hosted on London.

Access to the database is strictly controlled through the use of name specific passwords, which are selected by the individual.

People who will have secure and authorised access to the database include CEC Trustees, Staff, Rota Administrators and Home Group Leaders.

All access and activity on the database is logged and can be viewed by the Database Controller.

Any individual who is a subject to data held by CEC are entitled to;

  • Ask what information the church holds about them and why.
  • Ask how to gain access to it.
  • Be informed on how to keep it up to date
  • Be informed what Chatham Evangelical Church is doing to comply with its obligations under the General Data Protection Regulation 2017.

Personal information will not be passed onto any third parties outside of the church environment except where required for registering members for external events and in doing so, we will ensure that such entities conform to GDPR guideliines. Your personal information will be kept strictly confidential. It is never sold, given away, or otherwise shared with anyone, unless required, by law.

Third Party Data Processors

Third parties have been carefully chosen and all of them comply with the legislation set out in section 2.0. All of these third parties are based in the USA and are EU-U.S Privacy Shield compliant.

Data Breaches

If at any time it is apparent that personal data stored in our database has been stolen, we will ensure that we report such breach to relevant persons and authorities within 72 hours.

Rights to Object

You have the right to opt-out of receiving all or some of our communications or request that we stop processing personal data about you for certain purposes at any time by contacting us using the details below.

Rights to Access Information

You have a right to ask for a copy of personal data held by Chatham Evangelical Church.
